Overview

The Swiss federal government has initiated six new National Centres of Competence in Research (NCCRs) to enhance strategic research areas in Switzerland. ETH Zurich plays a pivotal role by heading three of these NCCRs, particularly focusing on the NCCR -Genesis-, which investigates the origins of life and unites over 100 scientists across various disciplines.

Project Background

To support this vital initiative, a new position has been established to assist the NCCR Director, Professor Queloz, while simultaneously contributing to NCCR HR and Equal Opportunity activities.

Position Responsibilities

The key responsibilities will be divided into two primary areas:

Personal Assistant Duties (60%)

  • Manage comprehensive planning, coordination, and prioritization of the supervisor's calendar, including travel arrangements.
  • Provide assistance to senior members of the group and address administrative matters related to Professor Queloz at ETH Zurich.
  • Maintain regular communication with stakeholders involved in the NCCR Genesis operations.
  • Take meeting minutes and oversee the implementation of decisions and tasks.
  • Coordinate internal communication, website updates, and other announcements within Professor Queloz's group.
  • Oversee HR processes for the research group, including onboarding new members, while also serving as the secretary for the Equal Opportunity Committee.
  • Act as the first point of contact for the research group, managing both internal and external stakeholder relations.
  • Handle administrative tasks such as mail processing and document management effectively and efficiently.
  • Organize events such as the annual science conference and networking activities.

NCCR HR & Equal Opportunity Duties (20-40%)

  • Serve as a contact point for HR policies and equal opportunity inquiries within the NCCR, while acting as the secretariat of the Equal Opportunity Committee.
  • Monitor personnel appointments funded by the NCCR.
  • Ensure compliance with SNSF rules regarding employment eligibility, salary scales, and gender equality measures.
  • Coordinate career development initiatives for early-career researchers, including mentoring and training programs.

Candidate Profile

  • Several years of experience as an executive-level assistant in an academic or service environment.
  • Strong organizational skills with a proactive and structured approach to work.
  • Professional and confident demeanor with robust service orientation, diplomatic capability, and political acumen in sensitive contexts.
  • Excellent communication abilities in German, French, and English.
  • Experience in handling diverse communication formats and various stakeholder demands.
  • Proficient in managing multiple tasks under time constraints, prioritizing effectively, and independently generating solutions.
  • High reliability, accuracy, flexibility, and discretion in managing confidential information.
  • A collaborative team player with a good sense of humor.
