Position Overview

The successful candidate will be instrumental in maintaining the company's operational efficiency. This multifaceted role encompasses operations management, human resources administration, financial oversight, and corporate governance. Collaboration will be key, as the role requires working closely with management, external partners such as fiduciary and legal advisors, and internal teams.

Key Responsibilities

  • Human Resources Management
    • Organize onboarding, training, and scheduling of staff.
    • Manage recruitment processes, including interviews, contracts, and registrations.
    • Handle HR administration, including AVS, LPP, and SUVA registrations.
    • Oversee payroll processes, ensuring timely salary slips and distributions.
    • Conduct annual and periodic performance reviews.
    • Manage time tracking systems for holidays, overtime, and sick leave.
    • Coordinate office equipment and furniture needs.
  • Finance & Administration
    • Supervise accounting activities in collaboration with fiduciary partners.
    • Review and update monthly financial reports, including Balance Sheet, P&L, and Cash Flow statements.
    • Manage budgets and oversee financial follow-up.
    • Coordinate year-end closings and corporate housekeeping tasks.
  • Operations & Performance Management
    • Develop and implement continuous improvements to operational procedures and policies.
    • Define and formalize target processes within the operational scope.
    • Monitor performance indicators to optimize resource use and service delivery.
    • Lead optimization projects linked to daily operations.
    • Ensure compliance with legal and regulatory requirements.
  • Intellectual Property & Grants
    • Handle administrative tasks related to intellectual property, including patent and trademark processes.
    • Support applications for state grants and public funding.
    • Prepare documentation and manage the finances related to grants.
  • Communication & Marketing Support
    • Collaborate with the marketing team on communication strategies.
    • Enhance online visibility and maintain an updated product and service catalog.
    • Improve the online ordering system and assist with marketing email campaigns.

Education & Qualifications

  • Bachelor's or Master's degree in Human Resources Management, Business Administration, Management, Finance, Economics, Operations, or Industrial Management.
  • Certifications in HR, payroll, Swiss labor law, or accounting are advantageous.
  • A minimum of 3–5 years of relevant experience in a startup, SME, or scale-up environment, preferably in Switzerland.

Language Proficiency

  • Fluent in English (C1 level or higher).
  • Professional proficiency in French (B2 level or higher).
