Key Responsibilities
This role focuses on the accurate, timely, and compliant delivery of payroll across multiple international entities, requiring collaboration with external providers. The individual will serve as a vital coordination point among HR, Finance, vendors, and employees, overseeing payroll processes, compliance, and reporting.
In addition, responsibilities include supporting equity-related payroll activities and acting as backup for Swiss payroll to ensure business continuity and compliance with local regulations.
Primary Functions
- Coordinate and oversee end-to-end payroll processes for various international entities in partnership with external payroll providers.
- Ensure timely and accurate payroll delivery, managing data collection, validation, and approvals.
- Review payroll outputs, reports, and reconciliations from vendors.
- Ensure compliance with local labor laws, tax regulations, and statutory requirements across all countries.
- Manage payroll calendars, deadlines, and funding requirements efficiently.
- Support new country setups, provider transitions, and payroll process enhancements.
- Address employee payroll-related inquiries across different regions.
- Process and coordinate equity-related payroll activities, ensuring proper taxation and reporting in collaboration with internal and external stakeholders.
Backup Swiss Payroll Duties
- Act as a backup for the Swiss payroll process, ensuring continuity during the primary payroll owner's absence.
- Support payroll processing activities, including data validation and payroll review, while ensuring compliance with local regulations.
- Assist in year-end activities and audits as needed.
Administration and Benefits Support
- Ensure compliance with legal, SOX requirements, Quality standards, and best practices.
- Facilitate internal and external audits by providing necessary documentation to the Senior Manager of Payroll and Benefits.
- Collaborate on specific payroll projects with the Senior Manager of Payroll and Benefits.
Qualifications and Competencies
- Education: Bachelor’s degree in Human Resources or a related field.
- Special Knowledge: Preferable experience with foreign or expat payroll and working with external payroll providers.
- Languages: Native German or French, very good English skills; additional languages are a plus.
- IT Skills: Proficiency in Excel and payroll systems (e.g., ABACUS).
- Experience: 3 - 5+ years in international payroll, ideally within a multi-country and corporate environment.
- Personality Traits: Highly organized, analytical, independent, trustworthy, proactive, service-oriented, and capable of handling stress.
