Responsibilities

HR Training Organisation & Monitoring

  • Organize and coordinate onsite and international training sessions including scheduling, logistics, materials, and communication.
  • Monitor and maintain the initial training program for Swiss and international employees.
  • Organize and monitor compliance trainings across various regions.
  • Administer e-learning platforms (GO1/eQMS) including course assignments, tracking, and reporting.
  • Maintain training records and ensure compliance with internal and regulatory requirements.
  • Coordinate with internal trainers and external vendors.

Routine HR Administration & Communication Support

  • Prepare IT Access Management and other essential forms.
  • Prepare onboarding materials for new hires and send out employee birthday gifts.
  • Maintain and update evacuation drill lists.
  • Track the Annual performance review process.
  • Publish job advertisements and other communications on LinkedIn.
  • Support HR publications and updates on SharePoint, including the organizational chart.
  • Prepare and distribute HR communications across international teams.

Time & Absence Management

  • User and Badge management.
  • Support HR Specialists in monthly processing.
  • Enter routine corrections such as public holidays.
  • Conduct Mobatime training for new hires.

Reception & Event Organisation

  • Welcome visitors and ensure proper registration and badge issuance.
  • Ensure phone call reception of the main line.
  • Organize Apéros and employee events, including hospitality arrangements for visitors such as hotel bookings.
  • Ensure proper handling of HR Invoices, POs, and supplier management.

Training of Apprentice (1st year)

  • Plan apprentice tasks and supervise their performance and development.

Requirements and Skills

  • Completed commercial apprenticeship or equivalent qualification in HR and training administration.
  • Initial experience in HR, training coordination, or administration is advantageous.
  • Experience in an international or multicultural environment is a plus.
  • Experience in training apprentices.
  • Familiarity with HR systems and e-learning platforms is beneficial.
  • Proficient in MS Office (Excel, Word, PowerPoint).
  • Strong organizational and coordination skills with the ability to manage multiple tasks.
  • High attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Discretion and confidentiality in handling sensitive information.
  • Languages: Fluent in English and German or French; additional languages are a plus.

Important Notes

  • No home office work permitted.
  • Present working hours from 08:00 - 12:00 and 13:00 - 17:00 are required.
