Role Overview
The successful candidate will collaborate closely with fellow Finance team members to ensure the accurate management of the school's accounts. Key responsibilities will encompass:
Accounts Payable
- Processing invoices and payments for both overseas and Swiss suppliers
- Liaising with relevant staff about orders and invoices
- Inputting bank payments to suppliers
- Reconciling individual accounts with the nominal account
- Oversight of the annual closing of the purchase ledger
- Managing communications in French and English with suppliers
- Creating new providers in the system
Accounts Receivable
- Preparing and sending invoices to parents and guardians
- Establishing credit notes and billing students for additional charges
- Following up on and booking payments
- Responding to parents' queries about student accounts
- Finalizing accounts for leavers and preparing deposit refunds
- Reviewing the aged debt report monthly with the Director of Finance
- Collaborating with Admissions regarding student records as necessary
- Regularly pursuing debtors and escalating issues to the Director of Finance when required
Nominal Ledger Management
- Maintaining updated nominal ledger files
- Managing related activities connected to the nominal ledger
- Conducting other audit preparation tasks as required
Additional Responsibilities
- Assisting and providing coverage for fellow Finance Team members
- Complying with the school's financial regulations
- Archiving nominal ledger files appropriately
- Performing other tasks as reasonably requested by the Director of Finance for ongoing projects and the efficient operation of the Finance department
- Understanding and implementing all school policies and procedures, especially those focusing on the safeguarding of children and young individuals
- Upholding the ethos of the school by embodying its guiding principles
Qualifications and Experience
The ideal candidate will possess the following qualifications and experiences:
Education, Qualifications, and Languages
- Essential: A Bachelor’s degree in Finance and solid evidence of continuous professional development; fluent in English (C1).
- Desirable: Proficiency in French (B2).
Experience and Knowledge
- Essential: At least 3 years of experience in accounts payable, accounts receivable, and general ledger; proficiency with IT systems and relevant software, including ERPs; proven experience in international or diverse environments; strong problem-solving capabilities.
- Desirable: Experience in an educational context; familiarity with iSAMS/iFinance systems.
