The European Alliance of Associations for Rheumatology (EULAR) represents individuals with arthritis/rheumatism, health professionals, and scientific societies across all European nations. As a non-profit scientific and educational association recognized by Swiss law, EULAR hosts a significant annual congress with approximately 14,000 delegates and organizes a variety of smaller events throughout the year.
Your Role
If you have a passion for medical congresses and event management, contribute to creating impactful experiences by coordinating the planning and execution of meetings, congresses, and event activities.
Key Responsibilities
- Plan and execute events from concept to completion, including conferences, social functions, and committee meetings.
- Develop detailed event proposals and timelines covering budgets, venue selection, catering, entertainment, and logistics.
- Coordinate with vendors and suppliers to ensure timely delivery of services and materials.
- Support housing management for volunteers, bursary winners, and staff during EULAR activities.
- Manage event budgets, track expenses, and ensure cost-effectiveness without compromising quality.
- Oversee event setup and breakdown, ensuring that all elements are in place and meet EULAR standards, and manage guest check-ins for smooth execution.
Your Profile
Required Qualifications
- Minimum of 3-5 years of professional experience in event management, hospitality, or a related field.
- Proficiency in Microsoft Office; experience with event management platforms (such as Azavista, m-anage, or similar tools) or congress IT systems.
- Exceptional organizational and administrative skills with great attention to detail.
- Stress-resistant and positive personality with a high level of engagement.
- A proactive and dependable team player capable of managing multiple tasks simultaneously.
- Excellent written and verbal communication skills in English (C1-C2).
- Availability to work on weekends occasionally and travel within Europe.
- Strong sense of ethics, responsibility, and confidentiality.
- An interest in working within a dynamic, international, and multicultural environment.
Preferred Qualifications
- Higher education in event management, or a bachelor’s degree in marketing, business administration, or a related field.
- Digital fluency and project management certification.
- Conversational German (B1-B2 level) or additional languages are a plus.
- Familiarity with Confluence and Jira.
