Role Overview
Located in Rotkreuz, Switzerland, this position offers a hybrid work arrangement. You will play a crucial role in managing and delivering essential administrative services, ensuring seamless support for the medical leadership team while contributing to efficient operations. Acting as a subject matter expert on organizational processes and tools, you will provide guidance on relevant business processes and inquiries.
Key Responsibilities
- Provide general administrative support, maintaining processes even in the absence of team members.
- Inform, advise, and support team members and external associates on department-specific processes, guidelines, and services.
- Support optimization of existing processes and assist in the introduction of new or modified procedures.
- Manage the administrative tasks of various projects with clearly defined content and time constraints.
- Actively participate in teams for administrative projects and oversee special task administration.
- Facilitate smooth onboarding for new team members within the administrative domain.
- Supervise administrative colleagues, including apprentices and new staff.
- Plan and coordinate administrative procedures, aiming to streamline workflows.
- Report technical complaints and other significant case scenarios related to products in a timely manner.
- Provide backup for critical business processes during absences and serve as a support resource for business process inquiries across the organization.
Profile Requirements
- A Bachelor's Degree in a relevant field.
- Proficiency in English, with knowledge of German, Italian, or French considered advantageous.
- Over three years of experience as a project coordinator or providing administrative support in a large organization.
- Experience collaborating cross-functionally.
- Advanced skills in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- Commitment to continuous improvement of administrative processes.
- Willingness to embrace shared accountability and foster knowledge transfer within the administrative community.
