Position Overview
The Summer School team plays an integral role within the Aiglon community, providing a unique experience to students aged 8-16 years during the summer months. This environment serves as a wonderful introduction to the Aiglon educational experience, with many participants subsequently enrolling in the academic year program. Ensuring a seamless and exceptional journey for families—from their initial inquiry through the enrollment process and their time as students—is of paramount importance.
The individual in this role will be pivotal in supporting the administrative operations of the team while collaborating with both support staff and teaching personnel throughout the school. A strong commitment to teamwork and delivering outstanding customer service are essential, as is the ability to keep the needs and priorities of prospective pupils and their families at the forefront of all efforts. The ideal candidate will embody the school’s guiding principles and consistently uphold its ethos and values in every aspect of their responsibilities.
Key Responsibilities
- Maintain communication and administration within office hours, responding to inquiries and welcoming visitors.
- Utilize effective systems of communication for the smooth operation of the department.
- Update databases and systems for new courses.
- Process student course applications and provide confirmations.
- Prepare and send draft emails as directed.
- Maintain positive relationships with students and families.
- Communicate effectively in both French and English.
- Ensure the organization of electronic and hard copy filing systems.
- Generate statistics and reports as necessary.
- Assist in market research and assessing new courses and services.
- Support program bookings, including transportation and activities.
- Collaborate with the Admissions Department for integrated communication.
- Develop relationships with education agents and keep them updated.
- Conduct campus tours and welcome visitors appropriately.
- Participate in trade fairs and recruitment events.
- Distribute course brochures and related literature as required.
- Initiate improvements to enhance the admissions experience.
- Represent the Summer School department in cross-team meetings.
- Coordinate with various teams and departments regarding course logistics.
- Manage financial communications related to payments and refunds.
- Support course staff recruitment in collaboration with the HR team.
- Maintain the Summer School staff handbook and documentation.
- Organize travel arrangements and documentation for courses.
- Oversee health and accident insurance processes.
- Prepare resources and materials required for courses and events.
- Facilitate whole school events as directed.
- Implement school policies, particularly those related to student safeguarding.
- Ensure confidentiality and respect in all school-related matters.
Summer School Operational Activities
- Assist in running the Summer School office as part of the leadership team during the summer period.
- Support course programs in coordination with leaders and instructors.
- Help Summer School staff with administrative details and bookings.
- Coordinate with the catering team to fulfill meal plans.
- Oversee the inventory and return of school equipment post-holiday.
- Participate actively in Summer School activities.
- Perform additional tasks as requested to ensure smooth operations.
